Terms & Conditions

What you can hold us to, and what we can hold you to. Written to be read, not to be got around.

Updated 28 September 2026Version 2026.10England & Wales

The short version

A summary, not the contract. The clauses below are what counts.

  • The quote is free and the price is fixed. It is guaranteed for 7 days from the moment we send it, and can be reconfirmed after that. Minimum job £1,500.
  • The quote you accept is the specification for your job: what we fit, where, for how much, and when.
  • Half on acceptance, the balance on completion. No date is confirmed until the deposit clears.
  • Lighting is normally supplied on seasonal hire — we take it down in January and the kit comes back to us. Prefer to own it? A purchase option is available on request. Take-down is priced as its own line and included by default.
  • You have a statutory right to cancel, and we only ever keep what the cancellation has actually cost us.
  • We never publish a photograph of your home unless you have said yes to it.
01

Who we are and who these terms are with

Cosy Christmas is a sole trader based in Brentford, London, working across London and the South East. In these terms "we", "us" and "our" mean Cosy Christmas; "you" means the person or business we are quoting or working for.

You can reach us on +44 7957 544795, by WhatsApp on the same number, or at hello@cosy.christmas. Our full trading address is available on request by email, and we will give it to you in writing before you accept a quote if you ask for it.

Where a second fitter works with us on your job, they work under our name and our insurance. Your contract is with us throughout.

02

What we do, and what we do not do

We design, supply, install, maintain and take down seasonal Christmas lighting for homes and businesses. Lighting is normally supplied on seasonal hire: the kit stays ours, and at take-down it comes back with us to be tested and reused next season. If you would rather own the lighting after the season, ask for the purchase option and your quote will instead include buying the specified kit outright. We do not store customers' displays between seasons.

We do not alter, extend or repair the fixed electrical installation in your building. Where a new outdoor socket or circuit is needed, that is work for a qualified electrician, and it is arranged and paid for separately.

Our minimum job is £1,500. Below that an exterior installation does not cover the day it takes, so we will say no rather than quote thinly.

03

Quotes and prices

In plain English — Your price is guaranteed for 7 days from the moment we send it. After that it stays open to read and we simply reconfirm the figure before you accept.

Sending the enquiry form is a request for a quote. It places no obligation on you and none on us, and it is not agreement to any installation.

We design and price your display from the address, photographs, measurements and details you give us. Where the property or its access genuinely needs to be seen in person, we arrange a survey visit. A survey visit carries a fee, which varies with where you are and what the visit involves; we tell you the amount in writing before we come, and you decide then. Where a survey fee is charged and you then go ahead, the fee comes off your final price.

You then receive a written quote with a fixed price. Your quote shows the exact date and time that price is guaranteed until — 7 days from the moment it is sent. Nothing disappears afterwards: the quote stays open to read, and we reconfirm the figure before you accept. If costs have genuinely moved in the meantime, we issue a revised quote rather than change one you have already seen.

Where we show you a digital or AI-generated preview of your display, it illustrates the proposed appearance. It is not a guarantee of an exact photographic reproduction — the written specification in your quote is what binds us.

The only things that change a fixed price after acceptance are:

  • work you ask us to add or alter
  • conditions that were genuinely hidden when we priced it — for example a roofline that cannot take the fixings described, no usable power where power was described, or access materially different from the photographs

Either way, we explain it, put the revised figure in writing, and carry out no additional chargeable work until you have agreed to that figure in writing.

The accuracy of what you tell us matters. If the details you give turn out to be wrong and that costs us extra time or access equipment, we may charge for the difference, at the rates set out in your quote.

04

How the contract is formed

The contract between us is formed when you accept a written quote from us in writing — by email, message, or by using the accept link on the quote. Accepting means you agree to the version of these terms recorded on that quote.

Submitting the enquiry form does not form a contract and commits you to nothing. You are asked to agree to these terms at the point you accept a quote, and we record which version you agreed to and send you a copy to keep.

We check a date is free before asking you for a deposit. No date is held or confirmed before the deposit clears; anything discussed beforehand is provisional. Once it clears, we confirm your installation in writing. If the agreed slot later becomes unavailable, we offer you a suitable alternative date or a refund of what you have paid.

05

Your accepted quote is the specification

In plain English — Where a detail on your quote differs from these general terms, your quote is the one that counts.

The quote you accept records, for your job:

  • the lighting we supply, and the areas, colours and effects agreed
  • the price, and the deposit due on acceptance
  • the installation window
  • any access equipment we are providing
  • the maintenance provision for the season
  • the January take-down, priced as its own line

Where a job-specific detail in your accepted quote conflicts with a general clause in these terms, the quote takes precedence, so far as the law allows. Nothing in your quote removes a right the law gives you.

06

Deposits and payment

In plain English — A 50% booking payment on acceptance; the balance once the display is installed, switched on and tested.

A 50% booking payment is due on acceptance, to allocate the equipment and commit the preparation and access your display needs, and to put your job into the diary. Your installation is confirmed once that payment clears.

Your installation is complete when the display is installed, switched on and tested. At that point we send you a completion confirmation and the final invoice, and the remaining 50% is due.

We accept bank transfer as standard. Cash or cryptocurrency settlement is available by arrangement.

We do not accept card payments. Cryptocurrency settlement is arranged case by case; we confirm the exact amount in pounds sterling, in writing, before anything is sent.

Invoices are due on the date shown on them. If a balance is unpaid after that date we may charge statutory interest and reasonable recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998 where the customer is a business, and simple interest at 4% a year above the Bank of England base rate where the customer is a consumer.

Where the balance is unpaid, we may decline to carry out further work on the display, including in-season maintenance, until it is settled.

07

Your right to cancel within 14 days

In plain English — This is your legal right, and nothing in these terms takes it away.

Most jobs are agreed remotely — by form, phone, message or email — which makes them distance contracts. Where we visit your property before quoting, we give you the same cancellation right anyway. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 you may cancel within 14 days, without giving a reason.

How the 14 days are counted depends on how your lighting is supplied, which your quote states. On seasonal hire — the standard arrangement — the lighting stays our equipment and nothing is sold to you: the whole job is a service with equipment hired for the season, and the 14 days run from the day you accept the quote. Where your quote is for lights purchased outright, the job also supplies goods: for the specified lighting sold to you, the 14 days run from the day you, or someone you name, take physical possession of it — which for an installed display is the day the installation is completed at your property — and for the service element they run from the day you accept the quote.

To cancel, tell us in writing at hello@cosy.christmas or by message to +44 7957 544795. You do not need to use any particular form of words. We will refund what you have paid within 14 days of being told.

Christmas has a short season, so many jobs must start inside those 14 days. Work only begins inside your 14-day cancellation period if you make a separate express request for it. Where this may apply, your quote shows a separate, unticked early-start box with the exact wording, and we record the wording and the time you ticked it. Accepting a quote or an installation date is not, on its own, that request. If you make it, you agree that:

  • if you then cancel, you pay a fair proportion of the work carried out up to that point, and the cost of any lights, fixings or materials bought or allocated specifically for your job
  • once the service has been fully performed, the right to cancel that service under those Regulations has been used up

Where an early start applies, we record your request separately — the exact wording you agreed to, and the time you agreed it — and we send you a copy with your acceptance.

If you would rather keep your cancellation right untouched, tell us and we will simply schedule your installation after the 14 days have passed.

08

Cancelling or moving your date after that

In plain English — We only ever keep what the cancellation has actually cost us. Nothing is kept as a penalty.

Outside the cancellation period, we recover what the cancellation has actually cost us — nothing is kept as a penalty, and nothing is charged as a fixed percentage regardless of the position. What we may charge is limited to:

  • kit and materials already bought or allocated specifically for your job, itemised — purchased kit is handed over to you; for hired kit we charge only the demonstrable cost of kit taken out of use for your job
  • design, survey and preparation work already carried out, at a fair and demonstrable cost
  • any non-recoverable third-party cost already committed for your job, such as an access-equipment booking or a permit, where we cannot cancel it
  • the labour actually lost where the notice is short enough that the day genuinely cannot be refilled, which we will explain and evidence

We will always show you the figure and how it is made up, and we refund the rest within 14 days. If the day is refilled, we do not charge for it.

Worked example on a £2,000 job with £700 of kit already allocated: cancel three weeks out and you pay £700 — purchased kit handed over to you, hired kit recovered against the rate on your quote. Cancel the night before and you pay that £700 plus the day we could not refill, itemised — not a flat percentage of the job.

Moving your date is free more than 14 days out and, inside that, is offered wherever our diary allows it — we would always rather move you than charge you.

If we have to cancel and cannot offer you an alternative date you are happy with, you get a full refund of everything you have paid, including your deposit.

09

Access, power and site conditions

On installation and take-down days you agree to provide:

  • safe, clear and unobstructed access to every area we are working on, including side gates, driveways and the space an access machine needs
  • any vehicle moved out of the way where it blocks the working area, including your own and, where you can, a neighbour's
  • pets secured away from the working area for the whole visit
  • a suitable and usable electrical supply where the design needs one
  • any permission the property needs — freeholder, landlord, managing agent, local authority or conservation
  • accurate information about heights, surfaces, fixings and anything we cannot see in the photographs
  • somewhere legal for our vehicle, and any permit a controlled bay requires

We arrange and price the access equipment the job needs — ladders, towers, cherry pickers and the operator where one is required. That cost is shown on your quote; you do not need to source anything.

Where we arrive and cannot work because the access above was not provided, we may charge a reasonable amount for the wasted visit: the time lost and any access equipment already hired for the day, itemised. If access is unsafe, we may reschedule.

We take reasonable care of the areas we work in. We are not responsible for pre-existing damage, for items left in the work area, or for surfaces that are already loose, worn or failing.

10

Working at height, weather and safety

In plain English — We will always stop rather than take a risk. Safety is never negotiable for a deadline.

Our work is at height, in winter. We may postpone or stop where conditions make it unsafe or would compromise the work — high winds, ice, snow, heavy rain at height, unstable ground or unsafe structures.

We may also refuse a particular part of a design where the building will not take it safely. Where we do, we say so before you accept, and we take that element and its cost out of the quote.

We are not liable for delays caused by anything outside our reasonable control, including extreme weather, illness, supplier failure, transport disruption or road closures. We will tell you promptly and rebook the earliest practical date.

11

Fixings, buildings and permissions

Clips, ties and brackets are our default. Where a run needs a mechanical fixing to stay safe and secure through winter weather, we use minimal, discreet anchors, placed by our installers' judgement on the day. Accepting your quote gives that permission unless you told us drilling isn't allowed; then we design around clips, may leave out a run that can't be held safely, and aren't responsible for a clips-only run you asked for failing. Minor marking of paint, render or sealant can happen where fixings sit, and is not damage.

It is your responsibility, before work begins, to obtain any permission needed from a freeholder, landlord, managing agent, neighbour, local authority or conservation or listed-building authority, and to tell us about any restriction that applies to the property. We are not liable for loss arising from a permission you did not have.

You must tell us about known cables, pipes or services in or behind the surfaces we are working on. We take reasonable care, but we cannot be liable for services that were not disclosed.

12

Your lights, and lights we supply

Where you supply your own lights or materials, you take full responsibility for them. We are not liable for age-related faults, fragility, prior storage, misuse or manufacturing defects in them, and we may decline to install anything we consider unsafe.

The lights, cables, timers and clips for your installation are normally supplied on seasonal hire: they remain our equipment, we look after them while they are installed, and they come back to us at take-down to be tested, inspected and stored ready for reuse. Where your quote includes the purchase option, the specified kit is sold to you outright and becomes yours once the job is paid for in full; it then leaves our hire stock for good and is boxed and left with you after take-down.

While hired lighting is installed at your property you agree to take reasonable care of it: not to move, modify, overload or tamper with the installation, and to tell us promptly if anything is damaged or stops working. Hired equipment that is lost, or damaged by anyone other than us, is charged at its fair, demonstrable replacement cost, which we will evidence to you.

Every quote includes:

  • the lighting specified on your quote — hired from us for the season, or purchased outright where your quote includes the purchase option
  • the design and the installation
  • cover for faults in what we supplied, for the season we installed it
  • January take-down, priced as its own line, unless you have taken it off

Hired lighting remains our property throughout. Purchased kit remains our property until the job is paid for in full, and we may recover it where an invoice stays unpaid after we have asked for it in writing.

13

Maintenance during the season

In plain English — Faults in what we supplied are ours to put right for the season we installed it.

For the season we install your display, we cover faults in the lights, fixings, connectors, timers and workmanship we supplied: if a run fails, a fixing slips or a timer stops, we come back and put it right at no extra charge. That cover is funded within your price, not a favour.

We attend within a reasonable time, and we will tell you when. We cannot promise a fixed response window: the work is at height in winter, and weather, daylight, safety and where we already are that week all decide what is possible. We will not put a fitter on a roof in a gale to meet a deadline.

The following is separately chargeable, quoted before we do it:

  • damage caused by you, by anyone else, or by anything done to the display after we left
  • your own lights or materials, which are covered by the clause above
  • faults arising in the building's own electrical supply
  • a visit where access is not available when we come to fix it
  • changes or additions to the display rather than repairs to it

None of this affects your rights over goods and services that are faulty or not as described. Those rights sit under the Consumer Rights Act 2015 and are untouched by this clause.

14

January take-down

In plain English — Included by default, priced as its own line, and removable before you accept.

Take-down is included as standard and is calculated for your job individually, shown as its own line on your quote. If you would rather handle it yourself, tell us before you accept: we remove that line, recalculate the total and the deposit, and record the decision against your quote. It is never swapped for a general discount.

Post-season take-downs are normally scheduled from 4–15 January. We confirm your date in advance; unsafe winter weather or access conditions may move it to the next safe working day. We arrange and price any access equipment the removal needs, and that cost is already inside the take-down line.

What happens after take-down depends on how your lighting is supplied. On seasonal hire, the kit comes back with us to be tested, inspected and stored ready for next season. Where your quote includes the purchase option, the kit is yours: it is tested, packed into heavy-duty storage bags and handed back to you on the day. Either way, nothing else of yours leaves with us, and we do not store customers' own belongings.

If access is missed or refused on the agreed day, we may charge the fair, demonstrable cost of the wasted visit and of returning, which we will explain before it is charged.

15

After the season ends

Beyond the in-season cover and the take-down on your quote, responsibility for the display sits with you once the season ends. We are not liable for:

  • faults or failures arising after the season we installed it
  • weather, wind, ice, storm or animal damage
  • electrical problems within your property
  • bulb burnout, colour drift or normal deterioration over time
  • misuse, or damage caused while the display is stored or handled by you, or during a take-down you carried out
  • incorrect reinstallation by you or by anyone else

Repairs, refits or reinstallation in later seasons are quoted as new work, subject to availability. Where lighting is on seasonal hire, returning clients reuse equipment we already hold and have already tested, which is why later seasons usually cost less.

16

Faults, complaints and putting things right

In plain English — Tell us early and we fix it. That is genuinely cheaper for both of us than a dispute.

If something is not right, tell us — +44 7957 544795, WhatsApp on the same number, or hello@cosy.christmas. We acknowledge every complaint within two working days and aim to resolve it within fourteen.

Please tell us about any fault in the work within 14 days of noticing it, and give us a fair chance to put it right before instructing anyone else. Where you have someone else carry out remedial work without giving us that chance, we are not responsible for their cost.

We carry out our services with reasonable care and skill, as the Consumer Rights Act 2015 requires. Nothing in these terms affects your statutory rights.

17

Insurance and our liability to you

In plain English — We carry full public liability cover. Where a cap applies it is stated plainly, and the liabilities the law will not let us limit are left alone.

We carry £5m public liability insurance with Rhino Insurance. Accidental damage caused directly by us is handled through that cover, and you should tell us about it within 14 days so it can be.

Nothing in these terms limits or excludes our liability for:

  • death or personal injury caused by our negligence
  • fraud or fraudulent misrepresentation
  • any liability that cannot be limited or excluded by law, including your rights under the Consumer Rights Act 2015

Physical damage to your property caused by us is not capped at the price of the job: it is handled through our public liability insurance, up to the cover shown above.

Subject to that, and to the extent the law allows:

  • our liability for purely financial loss connected with the job — as opposed to injury or damage to property — is limited to the price you paid for that job
  • we are not liable for indirect or consequential loss, or for lost income, lost business, lost profit, lost opportunity or wasted expenditure, where that loss was not a foreseeable result of what went wrong
  • we are not liable for pre-existing damage, faults in your own lights, problems within your property's electrical installation, or damage caused by weather, animals or third parties

Where goods we supplied are faulty, your remedies under the Consumer Rights Act 2015 apply in full and none of the limits above reduce them.

Where you are a business rather than a consumer, the Consumer Rights Act 2015 does not apply to our contract, you have no cancellation right under the Consumer Contracts Regulations, and the limits above apply in full.

18

Photographs of your home

In plain English — Nothing of your home is ever published unless you have said yes. Saying no changes nothing about your job.

The photographs you send us, and the ones we take on the day, are used to design, plan, document and insure your job. They are private to us.

We publish nothing showing your property — website, social media, advertising or portfolio — unless you have given us permission. We ask separately, in writing, after the work is done, and we record your answer. Saying no has no effect on your price, your job or anything else.

Where you have given permission, you can withdraw it at any time by telling us, and we will remove the images from anything we control within 30 days. Material already printed or already distributed by a third party may not be recoverable.

The designs, drawings, plans and photography we produce remain ours. Your installation is yours; the design work behind it is licensed to you for your own property and not for resale.

19

Things you agree to

  • give us accurate information about the property, its access and its power
  • obtain any permission the property needs before work begins
  • provide safe access on installation and take-down days
  • not modify, extend, overload or tamper with the installation, or connect anything else to it
  • take reasonable care of hired lighting while it is installed, and tell us promptly if it is damaged
  • keep the display switched off in high winds where we have asked you to
  • take responsibility for purchased kit once the season and the take-down on your quote have ended
20

Commercial customers

For business, shopfront and commercial installations you confirm that you are authorised to instruct the work, that any landlord, freeholder or managing-agent consent is in place, and that any permit or road-space licence has been obtained.

Risk assessments and method statements are available on request. Commercial contracts are business-to-business: the consumer cancellation right does not apply, and payment terms are those stated on your quote.

21

Changes to these terms

We may update these terms from time to time. The version that applies to your job is the version recorded on the quote you accepted, and it does not change afterwards. Changes here never apply retrospectively to work already agreed.

22

General

If any part of these terms is found to be unenforceable, the rest continues to apply. If we do not enforce something straight away, that does not mean we have given it up.

You may not transfer your contract with us to somebody else without our written agreement. We may use a subcontractor, but we remain responsible for the work.

Nobody other than you and us has any right to enforce this contract under the Contracts (Rights of Third Parties) Act 1999.

23

Governing law

These terms and any dispute arising out of them are governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction. If you live in Scotland or Northern Ireland, you may also bring proceedings in your own courts.

Talk to us first — hello@cosy.christmas. We have never needed a court to settle anything and we would like to keep it that way.
